Privacy Policy

1. Who we are

Vireo is a co-parenting communication and coordination platform. It helps separated parents message each other, manage custody schedules, track shared expenses, and keep court-ready records of their communication.

This policy explains what information Vireo collects, how it is used, and the choices you have. It applies to the Vireo mobile apps and the Vireo web application.

2. Information you provide

Account information: your email address, a password (stored only as a secure hash by our authentication provider), and a display name.

Household information: your household name, its members, and timezone.

Children's information: names, birthdays, and notes that you or your co-parent choose to add. This information is entered by parents or guardians; Vireo does not collect information directly from children.

Communication: messages, email-style threads, attachments (photos and videos), read timestamps, and reactions exchanged with your co-parent.

Scheduling: custody schedules, schedule-change requests, calendar events, holidays, handoff checklists, and routines.

Financial records: shared expense titles, amounts, categories, split ratios, and reimbursement status. Vireo does not collect or store payment card details.

Documents: files you upload to your household's document vault.

3. Information collected automatically

Push notification token: if you enable notifications, we store a device push token so we can deliver them. You can disable this at any time in your device settings, and the token is removed when you sign out.

Basic technical data: timestamps and identifiers needed to operate the service (for example, when a message was sent or read). Vireo does not use advertising trackers or sell analytics data.

Biometric unlock (Face ID / fingerprint): processed entirely by your device's operating system. Biometric data never reaches Vireo's servers.

4. AI tone analysis

To help keep communication respectful and child-focused, Vireo analyzes the tone of messages. A first check runs locally on your device. Message text, including unsent direct-message and email drafts, may additionally be sent to our AI processing provider (Groq, Inc.) to generate a tone assessment (for example, “ok” or “hostile”), a court-risk estimate, and a rephrasing suggestion.

Only the message text is sent for analysis. The resulting tone labels are stored alongside the message and are visible to household members. AI providers process this text to provide the analysis and are not permitted to use it to train their models under our service terms with them.

5. Voice and video calls

Calls are carried by a communications service provider. Audio and video streams pass through that provider's infrastructure during the call. Vireo does not record calls and does not store call audio or video.

6. How your information is shared

With your household: content you create in a shared space (messages, schedules, expenses, documents, timeline posts) is visible to the other members of your household. That is the purpose of the app. Lawyer threads are an exception: they are visible only to the parent who created them.

Court exports: you can generate PDF exports of your communication history, including read timestamps and tone records. What you do with an export is under your control.

Service providers: we use providers for hosting, account authentication, data and file storage, AI tone analysis, voice and video calls, email and push notification delivery, and error monitoring. They process the information needed to provide these services to us. Section 4 identifies our AI processing provider and the text sent for analysis.

Legal requirements: we may disclose information if required by law, court order, or to protect the safety of a child or user.

We do not sell your personal information, and we do not show advertising.

7. Children's privacy

Vireo accounts are for adults (18+). Information about children in the app is provided and controlled by their parents or guardians. We do not knowingly collect personal information directly from children under 13. If you believe a child has created an account, contact us and we will delete it.

8. Data retention and deletion

Your data is retained while your account is active. Because Vireo is designed for court documentation, messages and records shared with your co-parent are part of their records too. Deleting your account removes your access and your personal profile, but communication records already shared within the household may be retained for the other parent's documentation.

To request account deletion or a copy of your data, contact us using the email below. We will respond within 30 days.

9. Security

Data is encrypted in transit and at rest by our infrastructure provider. Access controls restrict private information to authorized users. In the mobile app, session credentials are stored in secure device storage, and you can require biometric unlock to open the app.

10. Your rights

Depending on where you live, you may have rights to access, correct, export, or delete your personal information, and to object to certain processing. You can exercise most of these directly in the app (editing your profile, exporting records, deleting content you created) or by contacting us.

11. Changes to this policy

We will post any changes to this policy on this page and update the effective date. Material changes will be announced in the app.
